1. Submission process

  1. A maximum of 2 submissions can be made per individual artist or artist group.
  2. Submissions can be made either by proposal for new work, existing work or a combination of both.
  3. Contact details and supporting information must be provided through the online submission process.
  4. Supporting materials or actual works can be submitted to eva International through the online submission process, by post/courier or directly by hand.
  5. The closing date for receipt of all submissions is 31 January 2012. Submissions received after this date will not be accepted. Online submissions must be received by midnight on 31 January 2012. Postal or couriered submissions should be sent to: Limerick City Gallery of Art, Carnegie Building, Pery Square, Limerick, Ireland and must be received on or before 31 January 2012. Direct submissions must be delivered by hand to either: Limerick City Gallery of Art, Carnegie Building, Pery Square, Limerick, Ireland or: Fire Station Artists' Studios, 9-11 Lower Buckingham Street, Dublin 1, Ireland between 10:00-17:00 on 31 January 2012.
  6. If submitting actual works by post, courier or directly by hand, you must clearly label each package with your name, contact details, title of work and ensure packaging is sufficiently protective.
  7. eva International shall maintain the highest possible standard for the handling and storage of actual works during the selection process. However eva International does not accept any liability for any loss, damage, destruction, deterioration or wear caused to a work (including frame, housing or plinth) submitted to eva International.
  8. A submission fee of €20 for 1 submission or €30 for 2 submissions must accompany all submissions. The submission fee must be received before the submission will be processed. Submission fees can be paid online (via PayPal to info@eva.ie), by post within Ireland only (by cheque or postal money order made payable to “Exhibition of Visual Art”) or through alternative methods (e.g. BACS, EFT, IBAN) by prior arrangement with eva International. Cash will not be accepted except by prior arrangement with eva International.
  9. This Open Call is not open to any employees of eva International.

Please note: eva International is a not-for-profit organisation. Submission fees support selected artists and contribute directly to the production, transportation and exhibition costs for eva International.

2. Selection process

  1. All submissions will be reviewed by the guest Curator.
  2. The guest Curator will decide upon the selection of artists for eva International. The guest Curator's decision is final and no correspondence will be entered into.
  3. eva International reserves the right to exclude or withdraw any submission that may expose eva International or associated organisations to the risk of legal proceedings.
  4. Selected artists will be notified via email or telephone once the guest Curator has made their final decision after 31 January 2012. Unselected artists will be notified via email after 29 February 2012.
  5. Subject to the availability of funding and at the discretion of the guest Curator, eva International will support selected artists by providing production expenses for the realisation of selected proposed new works, transportation expenses of selected existing works to and from Limerick City, Ireland, and travel expenses for selected artists to attend the launch of eva International on Friday 18 May 2012 in Limerick City, Ireland.

3. Sale, insurance, levies

  1. All works selected for eva International will be for sale unless previously specified.
  2. The price/value indicated during the submission process will be provided as the sale price except by prior arrangement with eva International.
  3. The price/value specified during the submission process should include eva International’s commission of 25%.
  4. All works selected for eva International will be insured except through prior arrangement between eva International and the artist. The price/value indicated during the submission process will be provided as the insurance value except by prior arrangement with eva International.
  5. Artists are themselves responsible for any VAT charge levied on imported works.

Please note: eva International is a not-for-profit organisation. Any income generated supports selected artists and contributes directly to the production, transportation and exhibition costs for eva International.

4. Copyright

  1. Copyright remains the property of the artist.
  2. By making a submission via the online, postal or direct submission process you confirm that you hold all intellectual property rights in the submission and that it will not infringe the copyright or any other intellectual property rights of any person.
  3. By making a submission you confirm that you have obtained prior written approval for the use in your submitted work of any copyright or other intellectual property rights of any third party that is included in your submitted work.
  4. By making a submission you agree that if selected any images of your submitted work and any accompanying materials you submit may be used by eva International and associated organisations, without payment of any fee or royalty, for the production and promotion of eva International, including websites, publications and promotional materials.
  5. By making a submission you hereby grant eva International and associated organisations a non-exclusive, worldwide, royalty free, irrevocable license, to use, reproduce, modify, edit, publish and distribute your submitted work for archival, educational, publicity, website, press and signage purposes, including through use of mobile applications and social networking sites.

5. Return of unselected works

  1. Online submission materials will not be returned to artists. Digital files will be stored as part of the eva International resource for future guest Curators and researchers.
  2. Postal submissions will be returned to artists providing a stamped, addressed envelope in included in the submission package.
  3. Direct submissions by hand can be collected from either: Limerick City Gallery of Art, Carnegie Building, Pery Square, Limerick, Ireland or: Fire Station Artists' Studios, 9-11 Lower Buckingham Street, Dublin 1, Ireland on a future date to be arranged with eva International. Works uncollected 4 weeks after this date will be considered the property of eva International unless previously arranged with eva International.

6. Confirmation

  1. By making this submission you are deemed to have accepted these Terms & Conditions and agree to be bound by them.
  2. If you are under the age of 18, you confirm that your parent or guardian has consented to your participation in this submission process in accordance with these Terms & Conditions.
  3. You confirm that eva International and associated organisations may process any personal data you provide to organise and select eva International and for each of the purposes for which your work may be used, as outlined above.
  4. You confirm that eva International and the associated organisations shall have no liability whatsoever for any losses or costs incurred by you, or liability arising from, the submission of your work and entry into the Open Call, including any loss of your work by eva International or any failure of eva International to be able to process your work because of technical issues.
